The most common question in ecommerce support. Lead with the answer, then the details.

Billing & payments canned responses

Money questions need exact amounts, dates and one clear next step.

  1. Explain a charge

  2. Double charge

    You're right, you were charged twice on {{date}}. I've refunded the second payment of {{amount}}; it should show within {{days}} business days.

  3. Failed payment

    Your last payment didn't go through, so your account is on hold. Updating the card under Billing retries it straight away and keeps everything as it was.

  4. Invoice request

Account & login canned responses

Login problems block everything else. Fix first, explain second.

Get the details you need in one ask, then say what you're doing about it.

FAQ

Canned responses are saved replies to questions your support team answers again and again. An agent inserts one, adjusts the details, and sends it, so common answers are fast and consistent.

  • Also called macros, saved replies or response templates. The idea is the same in every help desk.
  • Best for repeated questions. Order status, refunds, password resets and outage updates make up most of a typical queue.
  • Meant to be edited. A good canned response is a starting point the agent personalises, not a script read word for word.
